Executive Assistant, Global Sales
Job Location: Los Angeles, California
Job Description
• Coordinate the complex and ever-changing calendars of the CRO and global revenue leadership including balancing multiple, sometimes conflicting priorities and deadlines. • Become acutely familiar with the supported teams and their priorities - working collaboratively with internal stakeholders and external partners for meeting coordination. • Coordinate department-wide communications and weekly staff meetings. • Coordinate departmental events including Sales Kick Off, Sales Quarterly Business Reviews, executive meetings, and team off-sites. • Prepare, proofread, and assist with deck creation and meeting material organization. Comfortable working with Google Sheets and Excel files. • Manage the delivery of meeting materials, attend meetings and provide an organized agenda and post-meeting notes/follow-ups. • Coordinate, plan, and manage travel arrangements at the direction of the Executives. • Manage confidential and non-routine information and facilitate communication between appropriate people and teams. • Submit and manage Executive expense reimbursements. • Coordinate, plan, and manage key internal & external meetings (staff meetings, board meetings etc.) and special events with additional administrative support team members. • Partner with other administrative support team members on ad hoc projects for C-Suite and Senior Leaders. • Perform other duties or special projects as needed.
Qualifications
• 3 years minimum experience of Administrative Assistant experience supporting a C-Suite or VP level executives within the Software Industry • Knowledge of office administration responsibilities, systems, and procedures • Proficiency in MS Office and G Suite • Highly energetic, positive, and enthusiastic team player with strong interpersonal skills and collaborative orientation • Detail-oriented with strong problem-solving and decision-making skills • Self-starter with a high level of initiative and follow-through • Strong sense of ownership and urgency, organizational and time management skills, ability to multitask and prioritize work • Excellent communication (written and verbal), interpersonal and consultative skills • Strong work ethic and integrity • Ability to work well under tight deadlines and can respond to rapidly changing demands and fulfill efficient follow-ups
