Executive Assistant
Job Location: Manhattan, New York
Salary: $95,000 - $150,000 a year
Job Description
• We are seeking an experienced, organized, and professional Executive Assistant to support several executives in our New York City office • This position is based in New York • Currently, the Administrative team is required to be in the office a minimum of four days a week with a work from home option on Fridays, depending on overall business needs and subject to manager and Human Capital Management approval. • Proactively manage dynamic and complex calendars, including scheduling meetings and organizing related logistics, with a view to maximize executive’s efficiency and prioritize appropriately • Prepare, produce, and print necessary materials ahead of scheduled meetings • Assist with arranging complex domestic and international travel • Manage clients and other guest visits in the New York office • Coordinate dining reservations, ticket purchases, etc. for executives • Act as ‘gatekeeper’ for incoming communications and meeting requests • Process monthly expense reports • As a member of the Administrative team, collaborate with colleagues to provide general New York office support as needed • Maintain the highest standard of ethics and strict confidentiality in all aspects of the position
Qualifications
• Minimum of five years of relevant senior level executive assistant experience, with a strong preference for candidates with experience in Financial Services • Proficiency in the Microsoft Office Suite (particularly Outlook) • Ability to multi-task, prioritize, and self-manage • Capability to partner with an existing Administrative team in a collaborative, effective manner • Maintain a high-level of responsiveness • Strong oral and written communication skills; exceptional phone etiquette and proficient editing skills • Exceptional organizational skills and attention to detail • Must be ethical, discreet, and sensitive to confidential and/or personal matters • Undergraduate degree strongly preferred
