Contract and Tenant Allowance Administrator
Job Location: Remote
Job Description
• Support Construction Management and Tenant Coordination to open new tenants as quickly as possible • Prepare contracts, ensuring timely execution and release of work for landlord work to expedite tenant openings • Process invoices received to ensure timely payment against landlord work contracts, and handle invoice issues and questions as they arise • Process Tenant Allowance payment requests, including validation of all lease requirements including but not limited to, review of general contractor lien waivers, general contractor pay applications, Certificate of Occupancy, sub-contractor contact information and tenant W9s. • Effectively self-manage workload through the regular use of reports and actively participating in weekly meetings • Provide a consistently high level of customer services to all stakeholders (tenants and internal business units such as Leasing, Asset Management, Property Management, and Legal) • Liaise with and support the Tenant Coordination and Construction Management team to ensure projects are executed timely and properly • Ensure compliance with the company standards and procedures • Support negotiations of claims, manage contractual changes and resolve disputes or conflict resolution with Contractors • Ensure project members follow the contract correctly • Daily monitoring of Tenant Coordination in-box • Perform general administrative duties with a proactive approach
Qualifications
• 2-3 years contract administration experience • Attention to detail and the ability to read, analyze and interpret legal documents, financial reports and technical documents • Basic understanding of purchasing and supply chain procedures • Proficiency in Microsoft Word, Excel, and Power Point • Good understanding of standard operating procedures (SOPs) • Time management and problem-solving skills. Ability to meet deadlines and work well under pressure • Willingness to assist others and participate on special projects as needed • Ability to prioritize projects and meet required deadlines. Carefully manages several projects simultaneously, focusing on quality and attention to detail • Possess strong verbal and written communication skills • Possess skills, abilities and traits that align with the company’s Key Principles
