Executive Assistant, CFO
Job Location: Los Angeles, California
Job Description
• Coordinate the complex and ever-changing professional calendars of the CFO & team, including balancing multiple, sometimes conflicting priorities and deadlines. • Become acutely familiar with CFO, CFO Direct Reports and Company priorities - Working both with internal stakeholders and external investors for meeting coordination. • Coordinate department-wide financial communications (weekly newsletters) • Coordinate, plan and manage key internal & external meetings (staff meetings, board meetings etc.) and special events. • Manage the delivery of meeting materials, attend meetings and provide an organized agenda and post-meeting notes/follow ups. • Coordinate, plan and manage travel arrangements at the direction of the Executives. • Manage confidential and non-routine information and facilitate communication between appropriate people and teams. • Submit and manage Executive expense reimbursements. • Communicate effectively, efficiently, and professionally with service requests of Executives as needed. • Partner with other administrative support team members on ad hoc projects. • Perform other duties or special projects as needed.
Qualifications
• 5 years experience of Administrative Assistant experience supporting a C-Suite or Partner level executives within the Investment Banking of Venture Capital industry • Knowledge of office administration responsibilities, systems and procedures • Proficiency in MS Office and G Suite • Highly energetic, positive and enthusiastic team player with strong interpersonal skills and collaborative orientation • Detail oriented with strong problem-solving and decision making skills • Self-starter with a high level of initiative and follow-through • Strong sense of ownership and urgency, organizational and time management skills, ability to multitask and prioritize work • Excellent communication (written and verbal), interpersonal and consultative skills • Strong work ethic and integrity • Ability to work well under tight deadlines and respond to rapidly changing demands and fulfill efficient follow ups
